Match the invoice to the rate con, attach the paperwork the broker asks for, and send it to the billing address on the rate con. Then write down when it went out. A clean invoice gives the broker fewer reasons to hold it up.
On the invoice
- Your legal name or company name, address, and MC or DOT number.
- Your own invoice number, so you can track it.
- The invoice date.
- The broker's name and billing address.
- The broker's load or reference number, exactly as it appears on the rate con.
- Pickup and delivery locations and dates.
- The rate from the rate con.
- Each accessorial on its own line, like detention, layover, or lumper, matching the rate con's terms.
- The total.
- How to pay you, and who to contact with questions.
What to attach
- The signed rate con.
- The signed bill of lading or proof of delivery.
- Lumper receipts, if you paid one.
- Scale tickets or other documents, if the rate con asks for them.
Make sure the scans are readable. Open them on your phone before you send.
Before you send
- The amounts match the rate con.
- The reference number matches the rate con.
- It's going to the billing address on the rate con, not only to the person who booked you.
- Every attachment opens.
- Each accessorial has proof behind it, like in and out times or a receipt.

After you send
- Write down the date it went out.
- Ask the broker to confirm they received it.
- Know the payment terms, so you know when it's actually late.
- If it goes past those terms, follow up in writing.

If you factor
If you use a factoring company, they may send the invoice for you and have their own paperwork rules. Check their requirements before you send anything to the broker yourself.
How Lumen handles this
Lumen builds the invoice from your paperwork, so you're not retyping numbers in a truck stop parking lot.
- Forward your rate con to ratecon@lumenfreight.com and your dock photos and paperwork to docs@lumenfreight.com.
- Lumen builds the invoice from the rate con and your documents.
- You review it and send it.
- Lumen tracks how long it's been out. At day 30, Lumen marks it Overdue and drafts a demand letter. Nothing sends until you confirm it.
- Lumen is free right now.
